Register and complete training

All personnel working with minors in any program covered by Policy 4815 must complete training and background screening. This applies to Virginia Tech departments and to non-university organizations. Registration, training enrollment, and background checks all run through one system.

Ideal-Logic sometimes refers to camps, programs, and events as "Sessions." Non-university organizations should select Community Log-In on the Ideal-Logic entry page.

How it works

  1. Register your program. The Ideal-Logic system walks you through registering your event and every adult who will work with minors.
  2. Complete training. The system enrolls each adult in the required online training modules (see below). Tier I and II staff must pass with a score of 80% or higher within two years of their assigned program. 
  3. Complete background checks. Checks are ordered or confirmed during registration. There is a fee, and the registration process lets you handle it there.

Required training modules

  • Title IX
  • Staying Above Suspicion
  • Mandated Reporter of Abuse and Neglect
  • Health and Safety of Youth
  • Characteristics of "Grooming" for Sexual Abuse (optional module due to the sensitive nature of the material; no assessment; must be taken within two years of the program if used)

Background checks

Tier I and Tier II individuals must have a state and federal criminal background check and be screened through the State and National Sex Offender Registries. Background checks are valid for 2 years and apply to both day and overnight programs. 

Non-university organizations must conduct criminal records checks of their employees, volunteers, and representatives that meet university standards, and provide documentation to the Office of Youth Protection. The university may request additional information as needed to meet policy requirements.

Before your program starts

Program Administrators must collect the following from all adults and volunteers before the program begins:

  • Adult Emergency Contacts and Health History (required for all adults and volunteers)
  • Standards of Behavior for Volunteers and Adults Working with Minors (required signature and submission)
  • Medication Report (if needed)

Tiers of supervision

Tier I. Holds primary responsibility for running the program and is accountable for ensuring others follow Virginia Tech's minimum standards for interactions with minors. Supervises minors and the interactions of Tier II and Tier III individuals. Training and background check required.

Tier II. May hold a supervisory role with some responsibility for the program. Accountable for self and for meeting Virginia Tech's minimum requirements. Supervises minors and Tier III volunteers. Training and background check required.

Tier III. Group setting interactions only, supervised at all times by Tier I or II personnel. May be community volunteers, or Virginia Tech employees or students volunteering outside their job duties. No background check required. Training available at the Program Administrator's request.
